1. Introduction and Who We Are

hubello ("we," "our," or "us") is a Canadian-based company that operates the hubello platform and related services at hubello.net (the "Service"), including our website and any associated applications (including mobile or web applications distributed via app stores). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

The Service may be used internationally. We aim to comply with applicable privacy and data protection laws in the jurisdictions where we operate or where our users are located, including: Canada (federal PIPEDA and provincial laws such as Quebec's Law 25, British Columbia's PIPA, Alberta's PIPA); the European Economic Area (EEA) and UK (GDPR and UK GDPR); Switzerland (FDPA); the United States (including California's CCPA/CPRA and other state privacy laws); Australia (Privacy Act 1988); Brazil (LGPD); and other countries that impose requirements on the collection, use, and disclosure of personal information. Where specific rights or obligations are described below by region, they apply to users in those regions; we also respect fundamental privacy principles globally.

For users in Canada, hubello is responsible for personal information under our control. For users in the EEA, UK, and Switzerland, hubello is the data controller. For users in California, we are the "business" that collects personal information.

2. Information We Collect

We may collect the following categories of information:

  • Account information: email address, name, and password (stored securely). Required to create and access your account.
  • Profile information: display name, role (e.g. owner, property manager, cleaner), timezone, and (where applicable) last-seen or similar usage indicators used to operate the Service.
  • Property and operational data: property details (names, addresses, photos), bookings, tasks, task rules, calendar sync settings, contract and payment-term preferences, messages between users on the platform, and—where you use optional listing or marketing features—guest-facing descriptions, amenity selections, and preferences for whether content may be shown publicly.
  • Public listing pages and visitor inquiries (when available): if we host a page that promotes your property to the public, visitors may view information you choose to display (e.g. description, amenities, photos, and high-level availability derived from your Hubello data). Visitors may submit personal information through a contact or inquiry form (such as name, email address, phone number, and message text). We process that information to deliver your inquiry to the property owner or their designated account and to operate, secure, and improve the Service. See Section 6 below.
  • Payment and billing information: we do not store full payment card numbers. Billing is processed by third-party payment processors (e.g. Stripe); we may store billing-related identifiers (e.g. subscription status, customer IDs) necessary to provide paid features and support.
  • Device and technical data: device type, browser type, IP address, and general usage patterns (e.g. to operate, secure, and improve the Service). We may use cookies and similar technologies as described below.
  • Message moderation and safety: we may process content of messages (e.g. in-app chat and direct messages) for safety, fraud prevention, and compliance with law. This can include automated scanning and, where content is flagged, manual review by authorized personnel. Flagged content and related metadata (e.g. sender, time, message type) may be stored for review and, where required by law, reporting to authorities. See section "Message Moderation and Safety" below.

We do not sell your personal information. We do not use your personal data for profiling or automated decision-making that significantly affects you.

3. Legal Basis for Processing (EEA, UK, Switzerland)

Where required by law (e.g. UK GDPR, EU GDPR), we process your personal data on the following bases: (a) performance of a contract (to provide the Service you requested); (b) your consent (where we ask for it explicitly); (c) our legitimate interests (e.g. security, fraud prevention, improving the Service), where those interests are not overridden by your rights; and (d) compliance with legal obligations.

4. How We Use Your Information

We use collected information to: provide, maintain, and improve the Service; authenticate and manage your account; send service-related communications (e.g. password reset, important product updates); process payments and manage subscriptions; display property and listing information you choose to make available (including to prospective guests on public pages when that feature is enabled); relay visitor inquiries to the appropriate property account; enforce our Terms of Service; comply with legal obligations; and protect the security and rights of hubello, our users, and the public.

5. Message Moderation and Safety

To help keep the Service safe and to comply with legal obligations in the countries where we operate, we may scan message content (e.g. direct messages, property chat, and Find a Pro conversations) for policy violations and harmful content. This includes detection related to: hate speech or incitement; harassment or threats; violence; self-harm; sexual exploitation or content involving minors; human trafficking; and fraud or scam-related content. Such processing may be automated (e.g. keyword or pattern-based tools) and, when content is flagged, may involve manual review by authorized personnel. Flagged messages and related context may be retained for review, enforcement (e.g. removing content, suspending accounts), and, where required by law, reporting to authorities.

We do this in accordance with applicable law, including: in the European Union and UK, under the Digital Services Act (EU) and the UK Online Safety Act, and on the basis of legitimate interests or legal obligation under the GDPR/UK GDPR; in the United States, in line with federal and state requirements (e.g. reporting obligations regarding child sexual abuse material (CSAM) and human trafficking where applicable); in Canada, under the Criminal Code and other applicable federal and provincial laws; in Australia, under the Online Safety Act and related schemes; and in other jurisdictions that impose safety, reporting, or content-moderation obligations on platform operators. 6. Owner listing pages, public display, and visitor inquiries

Some subscription tiers may include tools to prepare or publish property information so that it can be viewed by prospective guests without logging into Hubello (a "public listing" or similar experience). In that case:

  • What appears publicly is largely information you provide or authorize (e.g. overview text, amenity selections, main property photo, address or general location as you configure, and availability or blocked dates derived from bookings and holds in Hubello). You should not publish more than you are comfortable sharing with the general public; search engines or third parties may index public pages.
  • hubello is not the rental counterparty. We host and transmit information as a software provider. The rental relationship, pricing, payments you collect from guests outside our subscription fees, and compliance with advertising and short-term rental laws remain your responsibilities. We describe our role in the Terms of Service ("Owner listing pages, marketing tools, and independent rental relationships").
  • Visitor and inquiry data. When a visitor submits a form (e.g. name, email, phone, travel dates optional, message), we collect that submission to notify the relevant Hubello account, store it as part of our service records, and use it for security, abuse prevention, and legal compliance. We do not sell those inquiries. The property owner (or property manager) you contact is an independent business; they should provide their own privacy notice for how they use your information after they receive it. If you are an owner, you are responsible for complying with applicable privacy laws for personal data you receive about prospective guests.
  • Retention. We retain listing content and inquiry submissions in line with Section 9 (Data Retention and Security) and operational needs (e.g. until you delete the property, withdraw the listing feature, or delete your account, subject to legal holds).

Depending on jurisdiction and the exact feature, hubello may act as a processor or service provider for certain owner-received inquiry data while remaining responsible for platform-wide obligations (e.g. security and lawful processing on our systems). Nothing in this Policy limits privacy rights you may have under applicable law.

7. Cookies and Similar Technologies

We use cookies and similar technologies (e.g. local storage) that are strictly necessary to operate the Service (e.g. authentication, session management, security). We may also use them to remember preferences (e.g. dismissed notices) to improve your experience. We do not use third-party advertising cookies or tracking for targeted advertising. You can control cookies through your browser settings; disabling necessary cookies may affect the functionality of the Service.

8. Sharing and Disclosure

We do not sell your personal information. We may share data with:

  • Service providers who assist in operating the Service (e.g. hosting, authentication, payment processing, email delivery) under contractual obligations to protect your data and use it only for the purposes we specify.
  • Other users of the Service where necessary to provide the Service (e.g. property owners and team members see relevant property and task information; messaging is between identified users). If a visitor submits an inquiry through a public listing or contact form, we share that submission with the Hubello account associated with that property so the owner can respond.
  • Legal and safety: we may disclose information if required by law, court order, or government request, or to protect the rights, property, or safety of hubello, our users, or the public.

Our service providers may be located in the United States or other countries. When we transfer data from the EEA, UK, or Switzerland to countries that have not been deemed to provide adequate protection, we implement appropriate safeguards (e.g. standard contractual clauses or other mechanisms approved by applicable law).

9. Data Retention and Security

We retain your data for as long as your account is active or as needed to provide the Service, resolve disputes, enforce our agreements, and comply with legal obligations (e.g. tax, regulatory). After account deletion, we may retain certain information where required by law or for legitimate purposes (e.g. fraud prevention) for a limited period; after that, we delete or anonymize it.

We use industry-standard technical and organizational measures to protect your data (e.g. encryption in transit, access controls). No method of transmission or storage over the internet is 100% secure; we cannot guarantee absolute security.

10. Your Rights

Depending on where you live, you may have the following rights. To exercise them, contact us at service@hubello.net. We will respond within the timeframes required by applicable law (e.g. 30 days under CCPA; one month under UK/EU GDPR).

  • Access: request a copy of the personal information we hold about you.
  • Correction / Rectification: request correction of inaccurate or incomplete personal information.
  • Deletion / Erasure: request deletion of your personal information, subject to exceptions (e.g. where we must retain data for legal or legitimate purposes).
  • Restriction: (EEA/UK) request that we restrict processing in certain circumstances.
  • Data portability: (EEA/UK) receive your data in a structured, machine-readable format where technically feasible.
  • Object: (EEA/UK) object to processing based on legitimate interests or (where applicable) for direct marketing.
  • Withdraw consent: where processing is based on consent, you may withdraw consent at any time without affecting the lawfulness of processing before withdrawal.
  • Complaint: (EEA/UK) lodge a complaint with a supervisory authority (e.g. the ICO in the UK, or your local data protection authority).

California (CCPA / CPRA)

California residents have the right to: know what personal information we collect, use, and disclose; request deletion of their personal information; correct inaccurate personal information; opt out of the "sale" or "sharing" of personal information (we do not sell or share personal information for cross-context behavioral advertising); and non-discrimination for exercising these rights. Canada (PIPEDA and provincial laws)

As a Canadian-based company, we comply with PIPEDA and applicable provincial privacy legislation. Canadian users have the right to: know what personal information we hold and how it is used; request access and correction; withdraw consent (where applicable) subject to legal or contractual restrictions; and lodge a complaint with the Office of the Privacy Commissioner of Canada (OPC) or the relevant provincial privacy commissioner. We collect, use, and disclose personal information only for identified purposes and with consent or as permitted by law. Where we use service providers outside Canada, we ensure appropriate safeguards are in place.

11. International Transfers

We are based in Canada. Your information may be processed and stored in Canada and in other countries (e.g. the United States) where our service providers operate. When we transfer personal information from Canada to service providers outside Canada, we take steps to ensure it is protected in accordance with applicable Canadian law. If you are in the EEA, UK, Switzerland, or another jurisdiction with restrictions on international transfers, we ensure appropriate safeguards (e.g. standard contractual clauses, adequacy decisions) are in place as required by applicable law.

12. Children

The Service is not directed to individuals under the age of 16 (or 13 in jurisdictions that set a lower age, such as the United States under COPPA). We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us at service@hubello.net and we will delete it promptly.

13. Third-Party Services and App Stores

The Service may be accessed via or distributed through third-party platforms (e.g. Apple App Store, Google Play). Those platforms have their own privacy policies and may collect and process data in accordance with their terms. We encourage you to review their policies. Our processing of your data is as described in this Privacy Policy regardless of how you access the Service.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the "Last updated" date. For material changes, we may notify you by email or through the Service where required by law. Your continued use of the Service after the effective date of changes constitutes acceptance of the updated policy. We encourage you to review this page periodically.
